A reliable CRM, ERP and accounting integration starts by naming one authoritative owner for each business fact, then defining exactly which changes move between systems, in which direction and under which validation rules. The scope also needs retry-safe writes, visible exceptions, reconciliation, least-privilege access, cutover evidence and a handover path; connecting three APIs without those decisions only moves the disagreement faster.
What should CRM, ERP and accounting integration achieve?
The integration should carry an agreed business workflow across systems without making people guess which record is correct. A typical flow may begin with a lead and commercial conversation in the customer relationship management system, move an accepted order into operational fulfilment, and create the appropriate financial record in the enterprise resource planning or accounting system. Your actual boundary may be different, and the scope must record that difference.
Start with the workflow, not the connector. 'Synchronise customers and invoices' leaves the consequential decisions unstated: when a prospect becomes a customer, who may change a billing address, where tax treatment is decided, whether a cancelled order reverses an invoice, and what staff see when one system rejects a change.
How do you decide which system owns each record?
Create a field-level ownership matrix before designing any data flow. A system may own an entity while another owns particular facts about it. Avoid two systems being able to change the same fact independently. If two-way updates are genuinely needed, define conflict resolution explicitly rather than relying on the most recent timestamp. Clock differences, delayed jobs and human corrections make 'last write wins' a business rule whether or not anybody intended it to be one.
What belongs in the integration contract?
The integration contract is the inspectable specification between systems. It should cover more than field names. Each message or API operation needs an initiating event, direction, identifier, validation rule, success response and failure path.

Treat accounting writes more cautiously than descriptive CRM updates. A failed note sync is inconvenient; a duplicated or incorrectly posted financial transaction can affect reconciliation and reporting. The scope should distinguish reversible drafts from posted records and use the platform's supported correction process rather than silently overwriting history.

Prefer supported interfaces over direct database writes or screen automation. A platform's API, event, export or documented connector gives you an explicit contract and an upgrade boundary. If a required workflow is not supported, record the limitation and the operational cost of the workaround before building it.
How should access, failures and reconciliation work?
Give the integration its own non-human identity where the platform supports one, with only the permissions each flow needs. Keep production and test credentials separate, store secrets outside source code, and document who can approve or revoke access. A shared administrator login makes it difficult to limit actions or attribute a change.
Retries are necessary but not sufficient. A request can time out after the destination has committed it, so the sender may not know whether repeating it is safe. Use a stable operation identifier or the platform's idempotency mechanism where available, preserve the destination reference and make uncertain outcomes visible rather than guessing.
Reconciliation compares the business records that should agree, not merely the number of successful API responses. Define what is compared, how often, the tolerance for timing differences, who owns exceptions and how corrections are recorded. That process is the safety net for missed events, mapping changes and edits made directly in either system.
